this privacy policy applies to atlas hoops, llc, a nevada limited liability company, operating at 6560 spencer street, suite 145, las vegas, nv 89119. our website is atlashoops702.com. we can be reached at [email protected].

this policy explains how we collect, use, store, share, and protect personal information gathered through our website, booking platform, training programs, court rental services, atlas basketball academy (aba) enrollment, and any direct communications with our team.

by accessing our website or using any atlas hoops service, you agree to the terms of this privacy policy and consent to the collection and use of your information as described herein. if you do not agree, please do not use our services.

what we collect

we collect information across the following categories depending on which services you use.

identity & contact information

personal identifiers
first and last name, email address, phone number, and any preferred name or nickname you provide at the time of registration or booking.
account credentials
usernames and passwords associated with your atlas hoops client portal account. passwords are stored using industry-standard hashing and are not readable by staff.
guardian information (aba)
for athletes enrolled in the atlas basketball academy (ages 7–13), we collect parent or legal guardian name, email, phone number, and emergency contact details.

booking & transaction data

reservation history
session dates, service type, run line attended (green, purple, blue, pink, red, or orange), attendance status, cancellation history, and any notes entered through the booking system.
pass & payment records
pass type purchased, payment dates, and transaction reference ids. we do not store full credit or debit card numbers. all card data is tokenized and vaulted by stripe, our payment processor.
court rental records
rental date, court selected, duration, billing total, and invoice records for court rentals and private events.
aba subscription billing
aba subscription enrollment date, billing cycle, and subscription status managed through stripe. billing data is governed by stripe’s privacy policy.

athlete performance data (aba only)

session evaluations
coach-scored performance ratings across seven metrics per session: effort, coachability, ball handling, finishing, shooting, defense, and basketball iq.
homework tracking
drill completion logs, leaderboard points, tier level, and homework submission status tracked per athlete and household unit.
video submissions
drill videos voluntarily submitted by families via dropbox for coaching review. submissions are organized by lab tier, athlete name, and month. video submission is optional — families may opt out without consequence to enrollment status.

automatically collected data

website usage data
standard server logs may capture ip addresses, browser type, device type, pages visited, and session duration. this data is used for security monitoring and is not linked to individual user profiles or shared with advertisers.
waivers & agreements
signed liability waivers and terms acknowledgments are collected at intake and linked to your booking record. waiver records are maintained for legal and safety compliance purposes.

how we use your information

we use the information we collect for the following purposes only. we do not use your data for any purpose inconsistent with what is disclosed here without your prior consent.

facility operations
managing reservations, verifying pass balances, building open run rosters, tracking attendance, and maintaining the 15-person session cap.
program delivery
tracking aba athlete progress, communicating curriculum updates and homework schedules to enrolled families, and delivering individualized coaching feedback.
billing & payments
processing pass purchases and court rental payments, managing aba monthly subscriptions, and generating invoices.
communications
sending booking confirmations, pre-arrival instructions, session reminders, waiver requests, policy updates, and program announcements. we may contact athletes with inactive pass balances about re-engagement opportunities.
google review requests
we may use your email address to send a one-time invitation to leave a review of atlas hoops on google. these messages are sent to active or recently active athletes and are non-automated. you may opt out of all non-transactional email communications at any time by replying with “unsubscribe” or contacting us directly.
safety & legal compliance
maintaining waiver records, incident documentation, and any records required to meet our legal obligations as a nevada-based sports facility.
security & fraud prevention
monitoring for unauthorized access, suspicious booking activity, chargeback fraud, or violations of our terms of service.
service improvement
using aggregated, anonymized data to understand program performance, attendance trends, and scheduling demand. this analysis is internal only and does not identify individual athletes.

we do not sell, rent, or trade your personal information to any third party. we do not use your data for behavioral advertising, retargeting, or any external marketing purpose.

how we store it

your information is stored across the following systems, each with access limited to authorized atlas hoops staff.

athlete database
primary athlete records — name, contact, booking history, pass balances, and open run data — are maintained in a controlled google sheet (ah_openrun_master) accessible only to authorized atlas hoops staff.
booking platform
reservations are processed through amelia pro on our wordpress-hosted website and stored in our website database, with automated sync to our athlete database for operational use.
payment processing
card transactions are handled by stripe and woocommerce. we do not store full card numbers. stripe maintains pci dss compliance for all cardholder data.
aba training records
athlete session evaluations, homework scores, and progress data are stored in a secured google sheets workbook accessible only to head trainer and facility owner.
video submissions
aba drill videos are stored in a private dropbox folder organized by lab tier, athlete name, and month. access is restricted to coaching staff only.
communications
athlete email correspondence, staff communications, and booking automations run through google workspace, governed by google’s privacy and security policies.
invoicing
court rental invoices and records are maintained through novo, our banking partner, governed by novo’s own privacy policy.

all staff with access to athlete records are bound by confidentiality expectations. access is role-limited: front desk staff manage communications and waivers; coaching staff access only athlete data relevant to their programs.

third parties we work with

we share limited data with the following service providers strictly for operational purposes. we do not authorize any third party to use your data for their own marketing or to share it with additional parties.

stripe billing
processes aba subscriptions and payment transactions. stripe stores payment tokens under pci dss-compliant infrastructure and does not share cardholder data with atlas hoops beyond transaction confirmations.
woocommerce transactions
powers pass and product sales on our website. order records are stored in our wordpress database and are not shared externally.
amelia pro bookings
our booking engine for open runs and court rentals. reservation data is stored on our self-hosted wordpress installation.
google workspace operations
athlete database, training records, automations, and staff email. governed by google’s enterprise privacy and data processing terms.
dropbox aba video
stores athlete homework drill videos. access is limited to coaching staff and governed by dropbox’s privacy policy.
novo invoicing
business banking and invoicing for court rental transactions. governed by novo’s privacy policy.

we do not use google analytics, facebook pixel, tiktok pixel, or any advertising or behavioral tracking technology on our website or in our communications.

in the event atlas hoops is merged, sold, or reorganized, personal information held by the company may be transferred as part of that business transaction. affected individuals will be notified via email and given an opportunity to request deletion prior to any transfer.

cookies & tracking technologies

our website may use cookies and similar technologies for essential site functionality, such as maintaining your login session on the client portal, remembering booking preferences, and enabling the booking system to function correctly.

we do not use cookies for advertising, behavioral tracking, or third-party analytics. most browsers allow you to control or disable cookies through your browser settings. disabling cookies may affect the functionality of the client portal and booking system.

media release & likeness

by entering the atlas hoops facility or participating in any program, you acknowledge that atlas hoops records sessions for both internal operational purposes and external marketing. these are treated as two distinct categories with different opt-out rights.

internal recording — always permitted

atlas hoops retains the unconditional right to record sessions for internal operational purposes regardless of any opt-out request. this includes: aba athlete performance evaluation and coaching review, incident documentation and safety records, and facility security monitoring. internal recordings are not published externally and are accessible only to authorized atlas hoops staff.

external marketing use — opt-out available

unless you provide a valid opt-out notice as described below, your presence at or participation in any atlas hoops session constitutes consent for atlas hoops to use your image or likeness in public-facing marketing content — including social media posts, website content, promotional materials, and advertising — without additional compensation or approval rights.

you waive any right to review or approve specific uses of your likeness in marketing content and waive any claim to compensation for such use.

minors: use of a minor’s image in external marketing materials requires explicit prior written consent from a parent or legal guardian. internal use for coaching evaluation is covered under the aba enrollment agreement and does not require additional consent.

how to opt out of external marketing use: email [email protected] with the subject line “media opt-out — [your name]” at least 48 hours before your session. requests received less than 48 hours before a session will apply to all future sessions but cannot be applied to the upcoming session. opt-out applies to external marketing use only — it does not restrict internal recording as described above.

youth & minor privacy

the atlas basketball academy serves athletes ages 7–13. we are committed to protecting the privacy of minors and operate in compliance with the children’s online privacy protection act (coppa).

we do not collect personal information directly from children under the age of 13. all enrollment, billing, communication, and account management for aba athletes is conducted through a verified parent or legal guardian.

athlete performance data — including evaluation scores, homework records, and drill videos — is linked to the family account and is not independently associated with a child’s own account or email address.

we do not share any information about aba athletes with third parties except as required to operate the program (e.g., billing through stripe, video storage through dropbox). no minor’s data is used for advertising or any commercial purpose.

parents and guardians may at any time request to access, correct, or delete their child’s records by following the deletion request process in section 13.

data retention

we retain personal information only for as long as necessary to fulfill the purpose for which it was collected, or as required by applicable law.

active athlete records
retained for the duration of your active relationship with atlas hoops plus 12 months after your last booking or interaction.
payment records
retained for a minimum of 7 years in compliance with irs recordkeeping requirements.
liability waivers
retained for the duration of the applicable statute of limitations under nevada law (minimum 2 years from the date of signing).
incident reports
retained as legally required based on the nature of the incident, with a minimum retention of 3 years.
aba training data
retained for the duration of enrollment plus 12 months, unless a deletion request is received and there is no conflicting legal retention obligation.
video submissions
retained until the athlete’s aba enrollment ends or a deletion request is received, whichever occurs first.

after the applicable retention period, data is deleted or anonymized so it can no longer be linked to an individual.

security

we implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction. these measures include access controls, role-based permissions on all data systems, password-protected accounts, and secure third-party processors.

no method of transmission over the internet or electronic storage is completely secure. while we take reasonable steps to protect your information, we cannot guarantee absolute security. in the event of a data breach affecting your personal information, we will notify affected individuals in accordance with applicable nevada law.

your rights

regardless of your location, we extend the following privacy rights to all atlas hoops athletes, families, and customers. exercising any of these rights will not affect your ability to book sessions, use your pass balance, or remain enrolled in any program.

right to access
you may request a copy of the personal information we hold about you or your child, including your booking history, pass balance, and any aba evaluation records.
right to correct
if any information on file is inaccurate — name, email, phone number, or other details — you may request a correction at any time.
right to deletion
you may request deletion of your personal data from our systems. see section 13 for the full deletion request process and applicable legal retention exceptions.
right to opt out
you may opt out of non-essential communications — including marketing emails and re-engagement outreach — at any time by replying “stop” or emailing [email protected]. you will continue to receive transactional messages necessary for your active bookings.
right to portability
you may request an export of your booking history, pass records, or aba evaluation data in a readable format (csv or pdf).
right to restrict processing
you may request that we restrict the use of your personal data to essential operational functions only, excluding it from any internal analysis, reporting, or non-essential communications.
media opt-out
you may opt out of having your likeness used in external marketing content by submitting written notice to [email protected] at least 48 hours before your session. opt-out does not restrict atlas hoops’ internal recording rights. see section 07 for the full process.

deletion requests

to request deletion of your personal data or your child’s data, follow the steps below. we will confirm receipt within 3 business days and complete the deletion within 14 business days of identity verification.

    identity verification: we will send a short confirmation to the contact information on file before processing.

    deletion executed: we will remove your data from our athlete database, booking system, aba training records, video submissions (dropbox), and internal communication records.

    confirmation sent: we will email you once deletion is complete with a summary of which systems were cleared.

legal retention exceptions

certain records may be retained beyond a deletion request where required by law.

liability waivers
retained through the applicable statute of limitations under nevada law.
payment records
retained for 7 years per irs guidelines.
incident reports
retained as required based on the nature of the incident.

retained data will be isolated and used solely for legal compliance purposes — not for operational, marketing, or analytical use.

sms & text message communications

atlas hoops communicates with athletes and customers via text message for operational and marketing purposes. this section describes how we use text messaging, what we send, and your rights under the telephone consumer protection act (tcpa) and applicable federal regulations.

consent

by providing a mobile phone number to atlas hoops in connection with a booking, registration, enrollment, or waiver, you consent to receive text messages from atlas hoops at the number provided. this consent covers the following message categories:

transactional messages
booking confirmations, reservation reminders, cancellation confirmations, session alerts, waiver requests, payment receipts, and other messages directly related to your active account activity. these messages are sent as needed in connection with your bookings and do not require separate opt-in.
program communications
aba session updates, curriculum notifications, homework schedule alerts, and other communications related to an active program enrollment. sent on an as-needed basis during active enrollment periods.
marketing & re-engagement
promotional messages, re-engagement outreach for accounts with inactive pass balances, new program announcements, and other non-transactional communications. consent to these messages is given by providing your phone number at registration. you may opt out at any time — see below.

message frequency & carrier fees

message frequency varies based on your account activity and enrollment status. message and data rates may apply depending on your mobile carrier plan. atlas hoops is not responsible for any charges incurred from your carrier in connection with text messages sent by atlas hoops.

how to opt out

to stop receiving marketing and re-engagement text messages, reply STOP to any atlas hoops text at any time. you will receive a single confirmation message and will not receive further marketing texts. to re-enable, reply START.

opting out of marketing texts does not affect transactional messages related to active bookings, which will continue until your session is completed or your account is closed.

for help or questions about text messaging, reply HELP to any atlas hoops text or email atlashoops702@gmail.com.

no purchase required

consent to receive marketing text messages is not a condition of purchasing any atlas hoops service. you may use all atlas hoops services without consenting to marketing texts by replying STOP at any time after your first message.

atlas hoops does not share your mobile number with third parties for their own marketing purposes. your number is used solely for direct communications between atlas hoops and you as described in this section.

nevada privacy rights

if you are a nevada resident, you have specific privacy rights under nevada law in addition to the rights described in the “your rights” section of this policy.

nevada revised statutes chapter 603a

nevada’s online privacy law (nrs chapter 603a) grants nevada residents the right to opt out of the sale of their covered personal information to third parties.

atlas hoops does not sell covered personal information as defined under nrs chapter 603a. we do not sell, license, or otherwise exchange your personal data with third parties for monetary consideration. because we do not sell personal information, there is no opt-out mechanism required — your data is not being sold and you do not need to take any action to prevent a sale.

if nevada law changes or our data practices change in a way that would constitute a sale under nrs 603a, we will update this policy and provide you with a clear opt-out mechanism before any such sale occurs.

nevada sb 220 — do not track

nevada senate bill 220 (2019) also addresses browser do-not-track signals. atlas hoops does not currently use advertising tracking technologies, behavioral targeting, or cross-site tracking on its website. as a result, we do not process or respond to browser do-not-track signals because we have no tracking activity to disable. if this changes, we will update this policy accordingly.

exercising nevada rights

nevada residents may submit privacy inquiries or requests — including requests to confirm that their data is not being sold — by contacting us at atlashoops702@gmail.com with the subject line “nevada privacy request — [your name].” we will respond within 60 days as required by nrs 603a.

policy updates

we may update this privacy policy as our programs, systems, legal obligations, or industry standards evolve. when we make material changes — meaning changes that affect how we collect, use, or share your personal information — we will update the “last reviewed” date at the top of this page and notify active athletes and enrolled families by email prior to the changes taking effect.

continued use of atlas hoops services after the effective date of a revised policy constitutes acceptance of the updated terms.
